SIMPLIFY- The Art of being succinct

So you have a “killer idea”! Great.

Imagine a situation, while you are in the lift, and your MD walks into the lift.

“What’s up?” he says.

“Well, I am doing this…….” and you start on your monologue, and by the time you come to the interesting part, the lift stops, and he gets off…

“Good to see you again”, he says and disappears!

You wonder, “What happened just now?” as you see his retreating back and the door of the lift closes.

You just lost a great opportunity to share your biggest project and an to share your plans with a senior leader – and possibly get some feedback.

This is one of the most important aspects of what your professional life- and most of us miss the opportunity time and again, to create the impact, that we are setting out to do.

So how do you go about it? Here is a quick snapshot of how you could possibly go about it –

1. Create a complete docket of your project. It is important to have the entire end to end details of the program in 1 place (this is yet another issue with most of us, but that is another topic).

2. Create 1 page summary of your project

  1. What is the project all about
  2. What is the problem being solved
  3. What is it that you are doing
  4. What is the outcome you expect from this project
  5. What is the investment that is required/ being made
  6. Who are the people involved in this.

Identify the hook that you will use to get people’s attention.

3. Create a 1 min- elevator pitch based on the above.

  • Write down the key points based on above.
  • Practice it a few times with people around you – friends, family etc.
  • Focus on the outcome & what it will do the people it is targeted at.

4. For your email communication or any other form of written communication, try and do this (courtesy –Faycal).

  • Write an Executive summary with the “hooks” and a gist of what you are doing. It could be 4-5 bullet points from the 1 page summary you have created.
  • Enclosed a more detailed note as an attachment.
  • For people who find this relevant and interesting, they can open the attachment and read through the document.

Try this in every communication you have, with your peers or with your manager (or their managers)- make it less verbose- and improve the quality of content- You will find people listening to you and giving you feedback, recognition and other things that will make you feel good plus more importantly grow in your role and your company.

Fast Forward-

You in the lift again, and your GM walks in.

This time he is careful and says, “Hello.. how are you?” (He remembers your rambling even now and is extra careful).

You say, “I am well. I am just finalizing the program that will help us get us grow our business in XYZ segment by  240% in the next 3 months , all by spending less than $5K”.

He looks at you with interest and says, “Why don’t you come and have a tea with me and tell me more”!

Mission accomplished.

Mindstorming – Kick-start your creativity

Creativity, in many people’s opinion, is something a select few are born with!

And most go through life without touching their creativity button.

Many people assume creativity to be the cornerstone of an artist’s and writer’s arsenal. Not so. Creativity touches every aspect of your life- and how you differentiate yourself from the others.  A very good trait that can help drive your career or your child’s thinking in directions that not many have taken the trouble to tread on.

While other tools are available, I find the exercise of Mindstorming to be one of the best I have tried out. I read this in a Brian Tracy book – and since then found out many other well known authors and professional recommend it as well. 

So, here’s how you do it!

Start with a clean paper.

  1. Step 1: Write down the Key Question for which you are looking for a solution.
    • Make this as focused and precise as possible- this will lead to better quality of answers.
  2. Step 2: Start writing down the answers – 1 to 20.
    • Let the thoughts flow.
    • Some of them may be like repetitions but don’t stop
    • Don’t look for original ideas from the first point.
    • Don’t stress yourself out trying to force your brain to churn out those ideas …  let this be an enjoyable exercise.

Simple enough?

For most of you, the first 5-8 answers will just pop out. These are typically the ideas that people take & get to work. These are also the ideas that are most common and most others would also come out with. Now is when you persist!

Till you come to 15, it will be a stretch – but the ideas will still come out.

This is when you don’t give up! Keep at it and squeeze every drop from your brain.  The next 5 will come from the depths of your brain, which will surprise even you!

List out the 20 answers. Identify the answers that address your question and give you solutions that may not have been apparent to you otherwise.

Great. Ready to go.

So, how does this apply to you?

In every aspect of your life (work or personal).

If you are faced with a problem today, try this out.

Remember:

Very precise questions will lead your brain to lead down a very precise path. Vague questions will let your brain wander around 🙂

E.g –  From – “How do I get promoted?” to – “What are the things I can do to get promoted in the next 6 months”

Or

From: “ what can I do for my daughter’s birthday?” to “What can I do differently for my daughter’s birthday that will make it memorable for her?”

4 Steps to turn Career Dissatisfaction at work to work for you!

Recent Gallup results from a poll conducted over 102 countries, showed that less than 20% of the people replied that they are not stressed.  

Dr. Deepak Chopra, believes stress in modern society occurs from a few key areas –

    • Career Dissatisfaction

    • Financial Concerns

    • Lack of Social Engagement

    • Lack of exercise

    • Poor Sleep

    • Poor Diet

    • Lack of Spiritual Fulfillment.

  • It is well accepted that career dissatisfaction is one of the main reasons why people get stressed. If you look at the list above, it is also the only one- which you don’t control directly – but is controlled by people outside (your boss, his/her boss, other colleagues etc.).

Like the Dilbert cartoon, many people create a mental image of what they should be doing. They also tend to compare themselves with people who have “made it” (read, got promoted) – and in many cases, instead of picking on the things that worked for the more successful folks, focus on the negatives- which creates a downward spiral.

Here are some tips on how you could possibly lower your stress level based on career dissatisfaction and convert it to a list of to-do’s that will help you ramp up & become more successful.

1.       Vision – this is something that we all are advised to do – take any leader, and they will ask you to set goals & set a BIG BOLD VISION & GOAL statement for yourself.  This is absolutely required and I am suggesting the same. Just ensure that this is a goal that is achievable- and something that you COMPLETELY believe in- and are willing to stake everything to achieve it.

2.       Do a SWOT analysis on yourself.  This is a very good exercise to figure out development areas that you need to focus on.  This will also ensure that you will be able to focus on areas that are critical for your success.  Doing a honest SWOT analysis, will ensure that you identify specific strengths to leverage on – and building a plan ground up. 

3.       People who have done well in your organization – but you don’t think they should be there! – This is a tough one.  One truth in EVERY organization – there are always people who grow into senior positions that You (and possibly others) DO not believe deserve that place.  In 20% of the cases, possibly that is very true.  However, all said and done, they still did grow- and it is going to worth your while to sit down & plan WHY and HOW they got there.  Instead of spending time badmouthing them- and thereby building stress on yourself – sit down and do a quick analysis on what worked for them.  List out their strengths- and rather than focus your energy on the negatives, focus on the positive!  Identify only Positive points – 2-3 of them – and identify traits that you need to BUILD.

4.       Now build a Plan – use any plan you are comfortable with, to build a step by step, time based, quantifiable plan.   Identify on these key parameters –

a.        Things/ Skills you want to learn in the next 12 months

                                                               i.      Tip: Focus on Learning – and identify specific SKILLS that are unique and those that you will not learn otherwise.

                                                              ii.      Work within your job area- and still look at things you can go deeper on.

                                                            iii.      When you feel low- READ through your vision statement & identify the one thing you can do immediately to get back your energy.

b.       Things/ activities you will achieve in the next 6 months

                                                               i.      Specific- that feeds into your long term goal.

c.        Specific activities I am going to do on a Monthly basis

                                                               i.      List out

                                                              ii.      Identify people to work with – and support you need.

d.       Things I will do today to make it happen.

The Basics of Goal Setting- Why it not as easy as many make it out to be! – and 5 steps to make it easy!

Goal setting is a Science! However, one needs to be prepared to do many iterations before being able to achieve a model that works!

Reading books on setting goals is a great eye opener. It sets a sense of urgency on what one needs to do, to move forward in life. It opens one’s eyes to the things that one needs to do NOW, and prioritize the activities. Putting items in various quadrants, and other numerous models that can be used to get the life you wanted, becomes the norm!

And then, reality sets in.

You realize that, for some reason, you don’t know where to start.

Trying to work through the maze of things to do could be a different goal by itself!

When I started off, I found my focus to be something like this! A balancing act that was a miracle by itself- and I was doing things to keep the whole act balance by itself!

You quickly realize the following-

· You don’t know where to start.

· You realize you are leading a life that is tethering on the edge.

· You really don’t have a very clear or central goal (if you do, you should congratulate yourself for you have to be a minority in this area – most people don’t know what their core purpose in life is).

· You spend most of the time in life following the things that are of immediate importance- in most cases these are items that offer immediate gratification!

· Most importantly, your activities are upside down compared to what most experts advise!

· You are running around spending time on your career, and making more money (or at least trying to) so that your family can have the best life possible! Ironically, at the end of the day, the whole purpose is lost because there is no time to spend with the family!

Over the years, I have attended programs like the Steven Covey’s 7 Habits, read books by Brian Tracy (Goals etc.), and other numerous books on Managing time & setting Goals. Every book has been brilliant and has provided numerous tips on how best to do Goal-setting.

However, a few pointers that has stuck with me- and here are the top 5 things that have stuck with me!

1. Focus on the CENTRAL GOAL of your life. It will vary from person to person . For me it is FAMILY! Everything that I do, I work on, has the family as the central goal. This central goal becomes the governing principle of your life. It could be Religion (I have friends who do things that help them get closer to god). Brian Tracy in his books “Goals” calls this the “Reticular Cortex”, which is where the brain starts visualizing this end goal.

2. Don’t expect QUICK RESULTS – This is a slow process. After all you have spent a few decades of your life leading an existence without these guiding principles. How do you change it at short notice? It is a long road – and you need to be prepared to drive through this. A few trial and errors are required. I moved from using the trial version of Franklin Covey to software that helps sets goals (Goalpro). After much trials (and more errors and non-starters), I have come to using a good old Excel sheet to help me formulate the goals. It is still a long way from being good- but it works to an extent. I can at least articulate my key goals in their list of priorities. (Not here though 😉 ).

3. Do the FIRST DRAFT first – Complete one draft – however vague it is – as it sets the tone to start the next steps. Keep at it – so that you are able to address this effectively. Focus on creating the key goals you are going to focus on.

4. Avoid getting stuck into “Tasks” and focus on the big picture – This is one area I found myself repeatedly during this exercise. It is easy to get confused and focus on “tasks” – activities that you have to do and miss the bigger goals. Example, deliver that presentation to the customer by 12 noon tomorrow rather than delivering on the goal of possibly being – the person “who is always dependable and delivers on his commitments”.

5. Pen & Paper – Always works better than computer! Write down the activities & do the exercises on paper. This is one area that I did not focus on- and in hindsight, a key element of success in your goal setting journey.

This is an example of how the earlier balancing act could be realigned – with clear focus on the central purpose & allocating the time that is required to make it happen! Once the central purpose is taken care, the rest follows. Remember to focus on every single element of your goal statements – and keep moving accordingly. Every element is critical.

5 Things to do when the going gets tough…

    There are times in life, when the going gets a little tougher than usual. Things that used to work smoothly, suddenly become a hill! People you trusted suddenly decide to experiment with that trust and do things that makes you incredulous (and furious). Things that started out well, suddenly start following Murphy’s Law (anything that an go wrong, will go wrong).

    Testing times really test the mettle of the person – and test the limits to which one can stretch. And it is easy to give way, and become negative, angry & shut down!

    But, these are the times (and an opportunity) for you to change your thinking and the paradigm! These are the times you should look at the world and the situation in a different light- and possibly that will help your pain & set you on the right path.

    Here are some learnings that I went through (in fact going through) as I go through a challenging time in my life… and without the blessing of having people I care about close to me, and friends who are willing to support you to the end, this would have been even more difficult!

  1. Don’t lose focus on the priorities in life! – While it is easy to get carried away and just focus on the problem, you need to deliberately step out of the circle- and look at the problem from a third person’s perspective. By looking at the key priorities in life- which is family, work, finance, career, health etc > you will be able to find the energy and the drive, that will help you come out of the spin. Make the time- focus on the priorities in life- and keep plugging away on the all the aspects of your life instead of just the one problem. The problem will suddenly look small, insignificant and more importantly, manageable.
  2. Don’t lose your trust in the Superior Power – I am sure there are many who believe in the power of prayer. And there are those who do not. But for those who believe (and lucky you), I think this is super important. Every single problem will look insignificant in the future! In fact every issue you face, prayers (and introspection) will show you roads to areas you would have not have dared to venture into. Keep the trust! Keep praying! Miracles are just one prayer away.
  3. Believe in the Power of the Family – If not the extended family, your family can make a big difference. [of course, this may not apply if your wife or husband is the problem]. That said, a family can solve more problems by sharing & by being together. Work on the problems together. Be open with the issues, and many a times, your better half (and they are called the better half for a good reason), may come up with things that make be the exact solution you needed.
  4. You cant always solve it all alone. Build a team: In many cases, the old cowboy days are long gone. Having an ecosystem of well-wishers, friends and family, can go a long way in shielding you from problems, showing ways to solve your problems and in many cases giving you ideas that you would have never thought of. Open up- and share your problems with the people you trust. Caveat – Learn to choose the people you trust – very, very carefully. Learn to talk your challenges. Start early- don’t wait for the problem to become more acute.
  5. Pick the right battles, and once done, do your best : Pick the battles you want to fight carefully. Do the right thing, and I believe, the results usually work out well. Do the wrong thing, and in the long run, I am sure, it will come back to haunt you! But always assess the options available, decide if it is a battle worth fighting, and be prepared to walk away! However, if you do decide that is the right thing to do – then do all it takes to make it work. Use every contact, every option, every opportunity to take that step forward & be ready for the next moves.

    The list can go on and on.

    And, nothing lasts forever- and the good times do follow- Always.

    Wait it out and ride out the problem by being a bit more proactive!
